Hours:  Monday – Thursday 8am – 4.15pm, Friday 8am – 3.15pm
Formed in 1991, the aim of our client was to jointly develop a Centre of Excellence for Engineering Training and associated skills in the Calderdale and Kirklees areas. This was enhanced during 1994 with the opening of a new centre at Brighouse. Over the years they have continued to grow and have achieved a reputation for High Quality Cost Effective training resulting in the need to further expand the training facilities in 1998. They are one of the largest and leading employer led engineering Group Training Organisations in the UK.
Main Purpose of the Job

  • To provide full, efficient and professional personal Management Support and assistance to the Chairman /Chief Executive in the Corporate Management of the Company
  • Reports to and works as and when required, in conjunction with Administration Manager 

Key Tasks 

  • Deal with all correspondence, actioning and prioritising on own initiative
  • Act as the initial point of contact for the Chair/Chief Executive’s telephone calls, fielding, monitoring and actioning as appropriate. Record telephone messages and relay them to the Chair/Chief Executive in a timely manner
  • Manage the Chief Executive’s diary efficiently and effectively
  • Collate Board Papers for bi-monthly Board Meetings, issuing to all Board Members 7 Days before Board Meetings
  • Maintain a high degree of Confidentiality when dealing with work on behalf of the Chairman/Chief Executive
  • Maintain an effective filing system for the Chief Executive’s correspondence, so that items can be easily retrieved/recalled both paper and IT Based.
  • Production and maintenance of staff personnel files
  • In conjunction with Administration Manager deal with all HR/Recruitment issues
  • Ensures high quality outputs.
  • Arrange meetings both in-house and at other UK locations. Many meetings require the organisation of a suitable venue, together with the preparation and provision of materials and refreshments
  • Prepare agenda, collate and distribute papers for and minute the following meetings:
  • Ad Hoc Meetings as required inc. cover (Health & Safety, Equality & Diversity meetings)
  • Undertake confidential work for Senior Management Team.
  • Attend various other meetings as and when required

Knowledge & Experience

  • Significant secretarial/Administration experience
  • Audio and copy typing skills
  • RSA III typewriting                                                    
  • 100 wpm typing
  • 120 wpm shorthand
  • Microsoft Office – Word, Excel, Access, Outlook and PowerPoint
